This website does not use an online enquiry form. If you choose to contact us by email, we may receive:

• your name, work contact details, employer and job role;
• the content of your enquiry and our correspondence;
• project requirements, quotation information and commercial records; and
• drawings, CAD files, photographs, specifications or other attachments you choose to provide.

Please only send personal information that is relevant to the enquiry. If material is especially sensitive or subject to access restrictions, contact us first so that an appropriate transfer method can be agreed.

Technical information

Our hosting and security services generate basic technical records when the website is requested. These may include an IP address, request date and time, requested page or file, browser and device information, referring page, response status, and security or error events. This information is used to deliver and protect the website, diagnose faults and prevent misuse.

3. Why we use personal information and our lawful bases

• To respond to enquiries, assess requirements and prepare quotations. We rely on steps you ask us to take before entering a contract where you would be a party to that contract. For business-to-business enquiries made on behalf of an organisation, we rely on our legitimate interests in responding and developing a commercial relationship.
• To deliver and administer agreed work. We rely on performance of a contract where the contract is with you personally, and otherwise on our legitimate interests in managing customer and supplier relationships.
• To operate and secure the website and business systems. We rely on our legitimate interests in maintaining reliable services, preventing misuse, diagnosing faults and protecting EJCS and its customers.
• To keep appropriate business records, meet legal duties and establish or defend legal claims. We rely on legal obligations and our legitimate interests in responsible business administration.

We do not use information collected through this website for automated decision-making or profiling.

4. Who we share information with

We only share personal information where reasonably necessary. Depending on the circumstances, recipients may include:

• GoDaddy and the hosting, content-delivery and security providers supporting this website, including Cloudflare;
• the email and IT providers used to deliver and secure EJCS business email;
• professional advisers such as accountants, insurers or legal advisers where their work requires it; and
• regulators, courts, law-enforcement bodies or other authorities where disclosure is required or permitted by law.

We do not sell personal information.

5. International transfers

Some providers supporting our hosting, website security or email services operate internationally, so personal information may be processed outside the UK. Where UK law treats this as a restricted transfer, we use the transfer arrangements made available under the relevant service contract, such as UK adequacy regulations or an approved UK transfer agreement or addendum. 6. How long we keep information

We keep information only for as long as reasonably needed for the purpose for which it was collected. The period depends on whether an enquiry becomes a project, the nature and expected repeat life of the work, customer instructions, and applicable accounting, tax, insurance and legal-claims requirements.

Enquiries that do not proceed are reviewed and removed when they no longer have a reasonable business or legal purpose. Project correspondence, quotations, drawings and CAD files may be retained while needed to manufacture or support repeat work, maintain an appropriate project record, meet legal obligations or deal with a potential claim. Hosting and security records are retained on the operational cycles applied by the relevant provider.

We use proportionate technical and organisational measures intended to protect personal information against unauthorised access, loss, alteration or disclosure. These include limiting access to people and providers who need it, using reputable hosted services and maintaining appropriate website and account security. No internet or email system can be guaranteed completely secure.
